Introduction
This article outlines the process of what happens when revoking access for a member (employee). It covers which areas of the platform are still accessible for the employee during the 60 day period before their account is permanently deleted.
There is also a reference of which communications are sent to the members during this time period.
Revoked or Ineligible Employees
Once an employee is revoked/marked as ineligible, our system considers them as leaving the business and their access to the platform will be restricted immediately. An account can be marked as revoked in one of the following situations:
- When an employee leaves an organization
- When a client is closing their platform and ending their partnership with Reward Gateway | Edenred
- If there are no logins from an employee for more than 22 months
Note: When an employee's account is revoked - usually due to leaving their employer organization, or their platform being closed as our client ended their partnership with Reward Gateway | Edenred. The members will still have access to the My Account page (only), for 60 days.
Access Still Available for 60 Days
When a member is marked as ineligible, access is restricted straight away. This is to prevent further actions on the account and to allow a clean account close down procedure. It would not be ideal for the member to make further cashback orders and have to wait for it to be approved, or receive award nominations only for them not to be approved on time.
However, there are certain areas of the site that will still be accessible for the 60 days:
- My Account section to see history on the account
- Security Center
- Help and Support
- Policy Pages (Cookie Policy / T&Cs / Privacy)

- Claim Outstanding Awards
- Spend Outstanding Balance

Employee Discounts (Please see Cashback, Instant Voucher and SmartSpending App Considerations)
- Use Instant Vouchers
- Withdraw accrued Cashback
- Access Reloadable Cards

- View existing employee files

Employee Surveys
- Complete live web link surveys the user still has the link for
All other areas are restricted and cannot be accessed. Please note that menu items would not disappear for revoked members. When they access any restricted area, they will automatically be redirected back to their My Account page.
Revoked Account Communications
Once access has been revoked, the user will receive a series of communications:
- 1st day: The member is marked as a leaver. They get an email informing them that their access to the program will be withdrawn.
- 30th day: The member gets a reminder email informing them that they have 30 more days before their account is closed down.
- 58th day: The member gets a reminder email informing them that they have 2 more days before their account is closed down.
- 60th day: The member's account is permanently deleted. Please note that once this happens we have no way of recovering any Reward balances, Vouchers, Cashback or other unused balances for the member.
