RG Cycle to Work is one of the most robust Cycle to Work schemes in the UK and is in direct partnership with Halfords. Employees can use CtW in-store or online at over 1,250 cycling retailers nationwide – including Halfords, tredz.co.uk, and over 800 independent bike shops. We build, run, and maintain all elements of RG Cycle to Work in-house so both clients and their employees only ever have a single point of contact. Employees are also able to use Cycle to Work at any time and on any device, as well as being able to use the in-house 24/7/365 Employee Support Helpdesk should they need any assistance.
RG Cycle to Work retains these same fantastic features, which have been at the core of Reward Gateway's Cycle to Work offering since the start:
- Access to a huge range of bikes from Halfords and 800+ independent retailers nationwide.
- Flexible implementation windows.
- Dedicated campaign support.
- A Store Locator tool has been added for members to find their nearest Halfords and participating independent stores.
- The back end of RG Cycle to Work will now sit in SmartPay™, making administration easier than ever for clients and their payroll teams (see "Integration with SmartPay™" below).
- The Help page has been improved to ensure members have all the information they need.
We're always thinking of ways to improve the end user experience, some key aspects to our employee journey:
- Improved design of a four-step application process, including clearer information on what additional equipment can be bought with their Cycle to Work allowance (i.e. safety accessories, etc).
- The ability for members to download their Hire Agreement and Letters of Collection from the Order History page.
- Members can have their applications approved instantly, rather than waiting until the application window closes. This is thanks to SmartPay™, which enables auto-approval based on information provided during set-up by the employer.

Integration with SmartPay™
RG Cycle to Work sits within SmartPay™ – the salary sacrifice & payroll benefits administration portal from Reward Gateway. It combines all salary sacrifice products into one central, manageable place and reduces administration for HR professionals. SmartPay™ is becoming the go-to payroll administration portal for clients because:
- It's easy and flexible to schedule application windows.
- Download a full deduction report for both net and gross products.
- Setup and manage payrolls from one central place, and allocate employees to their specific payroll through the membership upload.
- Remove the complexity of managing applications with SmartPay™ by choosing from:
- Pre-approval – All applications will be automatically processed (approved/rejected) instantly at the moment of an application based on data provided by the employer (based on the National Minimum Wage rate of the applicant).
- Post-approval – All applications need to be manually approved or rejected.
- Set an individual or overall SmartPay™ limit for each employee. This will serve as a cap to the allowance each employee will have to spend on all SmartPay™ products – SmartTech™, RG Childcare Vouchers and RG Cycle to Work.
