Introduction
This article explains that Manager Alerts are, how they work, and what to consider when setting these up.
About Manager Alerts
Managers are busy, and it can be challenging for them to keep up to date with their teams’ recognition moments and milestones. To give them a helping hand, we offer proactive email and onsite managers’ alerts as part of our recognition features.
How Manager Alerts Work
Line Manager Notification Email
Manager Alerts are proactive and linked to key milestones. Line Managers will receive an email and an onsite alert when one of their direct reports receives recognition (eCard, InstantAward, or approved Nominations that were shared to the Social Wall), as well as reminders when they have not sent any recognition moments throughout the week.
For these notification emails to be received, the Manager Alert under the settings for the scheme must be enabled.
The below alert refers to recognition already received and shared (eCards and instant awards) and nominations when they are approved.
The Manager Alert below refers only to nominations received by a direct report. It is just a notification, and does not mean that the submitted nomination is approved.
Considerations When Setting Up Manager Alerts
1. Eligibility File changes:
To enable Manager Alerts, the client will need to add one extra column (called Line Manager) to their eligibility files.
For each eligible employee, the Line Manager column will need to include the unique ID of the person who should receive alerts.
If the eligibility file does not include a Line Manager column, no Manager Alerts will go out.
2. If Line Managers should receive birthday alerts:
- We will need the client to supply employees’ dates of birth through their eligibility files, too.
- The first birthday alert will go out one week before each direct report’s birthday.
- A further alert will go out on the day, prompting the Line Manager to send recognition.
- Birthday alerts will only go out to Line Managers if their direct reports have chosen to share their birth date on their Profile.
- If the eligibility file does not include a Line Manager column and a Date of Birth column, birthday alerts will not go out.
3. If Line Managers should receive work anniversary alerts:
- We will need the client to supply employees’ start dates through their eligibility files, too.
- The first work anniversary alert will go out one week before each direct report’s milestone.
- A further alert will go out on the day, prompting the Line Manager to send recognition.
- If the eligibility file does not include a Line Manager column and a Start Date column, work anniversary alerts will not go out.
