What are Manager Alerts?
Managers are busy, and it can be challenging for them to keep up to date with their teams’ recognition moments and milestones. To give them a helping hand, we offer proactive email and onsite managers’ alerts as part of our recognition features.

What’s the first step to enable Manager Alerts?

To enable Manager Alerts, the client will need to add one extra column (called Line Manager) to their eligibility files

For each eligible employee, the Line Manager column will need to include the unique ID of the person who should receive alerts

If the eligibility file does not include a Line Manager column, no Manager Alerts will go out

Should Line Managers receive birthday alerts?
- If so, we will need the client to supply employees’ dates of birth through their eligibility files, too.
- The first birthday alert will go out one week before each direct report’s birthday

A further alert will go out on the day, prompting the Line Manager to send recognition
- Birthday alerts will only go out to Line Managers if their direct reports have chosen to share their birth date on their Profile
- If the eligibility file does not include a Line Manager column and a Date of Birth column, birthday alerts will not go out
- If so, we will need the client to supply employees’ dates of birth through their eligibility files, too.
- Should Line Managers receive work anniversary alerts?
- If so, we will need the client to supply employees’ start dates through their eligibility files, too
- The first work anniversary alert will go out one week before each direct report’s milestone

Frequently Asked Questions
A client has uploaded an employee data file with the Line Manager column. What else do they need to do to activate Manager Alerts?
As long as they are providing us with the correct Line Manager data, the following alerts will be enabled automatically, with no further configuration:

Alert when a direct report receives an eCard, InstantAward™, or approved award nomination. The alert will link to the recognition story, so managers can see it and add a comment if they wish to extend the celebrations!

Weekly reminder to send recognition, sent every Friday to managers who have not sent recognition through the engagement platform in the previous week
Will managers receive an alert when their receive recognition that was sent privately?
Managers will only be alerted about recognition received by their direct reports when the sender has chosen to share it on the Social Wall. This is because managers will not be able to see the recognition, comment or react if it was sent privately (i.e. only visible to the sender and recipient on the website).
This means that recognition sent via AwardFilePlus™ or Scheduled Recognition, which is always private, will not generate a manager alert for recognition received by a direct report.
Can clients customise the frequency, content or design of Manager Alerts?
We do not offer the option to customise the frequency and content of Manager Alerts.
Can clients turn Manager Alerts off for all Line Managers on my programme?
All Manager Alerts are turned on by default. Clients who wish to change this setting can contact their Client Success Manager before they start supplying the Line Manager data, and ask to:
- Turn off all Manager Alerts. This enables clients to use the Line Manager data for other purposes (e.g. Profiles, reporting), and hold off sending out the alerts until the time they are ready to launch them
- Turning off selected Manager Alerts. This gives clients the flexibility to send Line Managers the notifications that matter the most and best suit their business.
In addition, each Line Manager can opt out of one or more Manager Alerts through the individual Communication Preferences in their account.
