How can clients track the number and value of issued awards?
Clients can access four reports about issued awards in Reward Manager. Some of these cover all awards issued through the platform, while others cover specific products within SmartAwards™.
- R86 - All Instant Awards by Program
- R91 - Cancelled Awards
- R94 - Awards Issued
- R604 - Claimed Instant Awards
Note: The distinction between Claimed and Unclaimed awards mentioned in this article is only relevant to clients that have not removed the manual claim process. Clients that are using this process (live as of 19 September 2020) should expect all awards issued to be marked as Claimed.
Who can access recognition reports and how?
Everyone with Reports Viewer access in Reward Manager will be able to see and download these reports. If you would like to give this access to anyone in your organisation, contact your Client Success Manager or the Client Support team.
Once logged in to Reward Manager, users with Reports Viewer access can follow the steps below to see the reports:
- Select Smart Products on the Reward Manager left hand menu
- Select the SmartInsights™ option within Smart Products
- Select the Reporting option within SmartInsights™
- Enter a specific report name in the "Search by report name" bar at the top left of the page, or select RewardRecognition in the "Search by product" dropdown at the top right to see all reports relevant to Recognition (including nominations)
All reports can be displayed directly on the screen, or downloaded as a .xlsx file.

R86 - All Instant Awards by Program
Note: This report is only relevant to clients using InstantAwards™
- Information included: a breakdown of all awards issued through InstantAwards™, including senders, recipients, monetary value and nomination message

- Award level (the same award type can have multiple levels with different monetary values in InstantAwards™; these are set up at the implementation stage)

- This column reads "No" for awards the sender chose to keep private
- For clients who do not use InstantAwards™ with Social Recognition, this column will always read "No"

- Claimed? (the possible values for this column are Claimed, Unclaimed or Cancelled)

Information included: all awards issued through the platform and cancelled at a later stage, regardless of product used. Funds for these awards have been returned to the pot or program they were sent from (or, in the case of InstantAwards™ paid for via credit card, directly to the sender's card).

Frequently asked questions
Can Reward Gateway customise these reports on a client by client basis?
These reports come in a standard format, that is the same across all clients and cannot be customised on request.
What happens in these reports if an award type is deleted from Reward Manager?
Clients may decide to remove specific award types from Reward Manager, if they are no longer in use (e.g. a festive award that senders shouldn't be able to choose beyond the Christmas period). The reports described in this article will continue to display awards of deleted types that have been sent in the past.
What is the difference between the R94 report, and the MI reports that display employee spend?
R94 reports on the value of awards issued. This includes:
- Awards that have already been spent in full
- Awards that have only been spent in part (i.e. there are funds left over in the recipients' award balances)
- Awards that have been sent, but cancelled by the employer at a later stage (i.e. have not been added to recipients' balances)
MI reports, on the other hand, display figures for employee spend. This is the portion of issued awards that has already been used to purchase retail vouchers through the platform (and is independent from spend through the SmartSpending™ product).
Unless no employees on the platform have outstanding award balances, these will only cover a fraction of the awards issued that appear in R94.
How are Group Nominations tracked in R94?
With AwardNominator™, clients can set up their program so that multiple individuals can be nominated for the same award, at the same time.
When a Group Nomination that includes multiple nominees is submitted, the approver only sees one nomination to process. However, once the approver has processed it, the system records the outcome against each individual nominee. This means that:
- If the nomination is approved, the system creates one award per individual nominee in the group. For example, if a nomination for a $5 award includes two nominees, each nominee will receive $5 if the nomination is approved.
- The R94 report tracks each individual award issued from the platform. So in the example above, two separate $5 awards would appear in R94, instead of one entry for a total of $10.
The R94 report is timing out. Why is that?
R94 displays a large amount of columns, which draw information from several different tables in our database. This makes it one of our largest recognition reports, and on occasion, clients looking to report on a very large volume of awards may find that it is very slow to run or times out.
Selecting a shorter date range or narrowing down results through filtering can help reduce the amount of data the system needs to extract, and therefore, speed up loading time. This is strongly recommended for clients who see R94 time out because they are selecting a long timeframe, or a time period when an unusually large volume of awards was issued.
