Introduction
We created Groups so that administrators can combine different sets of Employee Data to create Groups. Groups can be based on a single piece of demographic data from the Member File or a combination of data from Member Profiles
Groups must be configured in order to send Group Recognition eCards - read more about it in the article Group Recognition.
Groups Manager vs. Segment Manager
Segment Manager: allows admins to create a segment of their employee group based on simple or complex rules.
Groups Manager: allows admins to create a grouping of their employees based on simple rules, using either the member file or a segment.
What is the difference?
Segment manager provides the logic to create a Group. Groups Manager sits independently to this so that admins can access a list of existing Groups easily.
We're trying to simplify the UI by separating and gradually improving the Groups Service Interface. The intention is for Clients to be able to set their own Groups up and manage any changes.
Who can see/use Groups?
To use Group Manager you must have one of the following roles:
- Segments Admin - Ability to manage all aspects of segment manager (create, edit, delete, and view)
- Segments Viewer - Ability to create and view segments in Segment Manager
To access the Groups Manager, visit Segment Manager and click the link: 'Groups manager' on the top right hand side.
[IN PROGRESS] - View List of Groups in People Directory
The Connections Team is currently working to make the list of available Groups visible on the People Directory.
It is advised that any Client activating Groups should have Profiles and People Directory enabled so that users will have the best experience.
Ways to create a Group
Member File Fields - any field in the Member File that is setup with ‘List Type’ can be used to create a Group. Other fields such as ‘Text’, ‘Number’, ‘Open Answer’ cannot be used. Otherwise there would be limitless Group options making it difficult to manage.
Segments - create a simple segment and apply it to a Group.
Editing or Deleting Groups
Currently Groups can’t be edited. If Group rules need to be changed, then delete the Group and create a new one.
If a Group is deleted, it will be removed from the Group listing. The corresponding Segment won’t be affected.
If an admin tried to delete a Segment that is in use on a Group, then the Group will be disabled and the admin will be alerted before deletion
When creating a Group, what types of rules can you apply to the Segment?
A Group can only be created with static segment rules. Any segment rules that are dynamic (ie. subject to change) won’t be able to be applied to a Group.
See list of eligible rule types below*
