What is a Welcome Email?
When a member is added as a Registered member to your programme, they receive a Welcome (Registration) email. This email contains a unique activation link, that they can click on, and activate their account by setting up a password and accessing the programme for the first time!
Notes:
- Your member registration criteria must be Preloaded in order to be able to take advantage of this functionality
- If your Programme configuration is SSO only, then this does not apply for your members. In that case email & password is not a login option and members will login directly to your Programme using the SSO, bypassing the login page
What is Task Manager?
The Task Manager tab is nested under Members in your programme’s Administration portal. It is your one-stop solution for managing various essential tasks for your members, to ensure efficiency and security. Based on your level of Permissions you will be able to see the following tasks:
- Deactivation Requests (Member Access Control Administrator)
- Data Download Requests (Member Access Control Administrator)
- Multi-factor Authentication Unlock Requests (2FA User Administrator)
- Multi-factor Authentication Reset Requests (2FA Administrator)
- Resend Registration Emails (Member Access Control Administrator)
What is the newly added Resend Registration emails task?
Under the Resend Registration Emails Task, you will find a table consisting of registered members that have not yet activated their accounts. The table will be rendered in several pages, according to the number of non-activated members and can be sorted by Member or Invited Date. You can also see the most recent date when a Registration email was re-sent and you can search for a specific member in the table using the relevant Search by Email field.
Note: The non-activated members table is sorted in descending order and based on the date they were registered to the programme by default.
How do you use the Resend Registration Emails functionality?
Performing this task is very simple! You can send Welcome Emails to one member by using the button included in each table row, or multiple by selecting one or more individual rows or using the Select All option and hitting the Resend to Selected Button. You will then receive a message asking you to confirm your action and once emails have been sent you will see a relevant confirmation message, including the number of emails you have just resent!
Tip: Select All, will select all the emails on the current page of the table, but navigating to multiple pages and Selecting All, will allow you to send even more emails with just one click!
What happens after resending an email?
As soon as you hit the Resend button, the emails are immediately dispatched to the members!
Best Practices
- When a new email is sent, any previous activation links included in previously sent emails will expire
- We advise against sending more than one emails to the same member in the space of 24 hours to avoid spamming them and ensuring there is plenty of time to activate their accounts
- You can use Resend Registration emails frequently, in order to ensure as many members as possible as activated and fully benefiting from your programme! You could also make it a monthly or even weekly task!
- On the off chance that an error occurs during Resend, then you will see a relevant error message and if emails failed to send, then the Reminder Sent Date will not be updated. You can try again later or try reducing the number of selected members before resending
