Platform Insights - My Team Dashboard: Understanding Recognition Data

Introduction

In this article, you will learn about My Team Dashboard. It is one of the dashboards available in the SmartInsights Analytics Engine. Detailed information is given on the type of charts available and how to use these. 

Overview 

This dashboard will provide Line Managers with data and analytics on their direct reports' engagement with the platform, and recognition activity. Keep reading for more in-depth information on what the data means for each of the recognition charts in the Dashboard. Please note:

• At this stage, the recognition charts in the My Team Dashboard only cover recognition sent through eCards, InstantAwards and AwardNominator. Scheduled Recognition and AwardFilePlus will be considered as part of later iterations.
• Hovering over the charts will enable Line Managers to uncover extra information, such as numbers and percentages not shown directly in the charts.
• Clients can export the entire Dashboard in PDF format, or export the data from specific charts in CSV format (to find this Export function, select the three dots next to the relevant chart).
• The content, layout, colors, and visibility settings of the charts are fixed for all clients using the Dashboard. These cannot be changed or segmented on a client request.

How To Access My Team Dashboard

Line Managers will find the My Team Dashboard by clicking on the Platform Insights link in their Account tab (see images below). 

A Line Manager is a user with whom the employer has linked to one or more direct reports, by adding their employee ID to a Line Manager column in their employee eligibility file. It is the client's responsibility to maintain their employee data so that reporting relationships continue to be accurate.

No extra admin permissions are required for Line Managers.

Users who have not been appointed as Line Managers in the employee's eligibility file will not have access to the My Team Dashboard, and existing Line Managers may lose access if they are unlinked from direct reports at a later stage.

Please note: Users appointed as Line Managers will only be able to see stats for their direct reports. The system does not currently support visibility for upper management levels (i.e. directors being able to see their indirect reports' stats, in addition to their immediate team).

Here's an example of what the dashboard might look like for a Line Manager.

Using the Filters

In this dashboard, Line Managers can drill down into different groups within their team by using the filters.

The filter at the top of the page allows refining the data by selecting a certain group and/or a specific time period. All of these filters are optional.

• Group selection: one or more of the custom employee data fields (set up as List or Enterprise fields) supplied through membership data files (i.e. department)
• Group Name selection: for each Group, one or more of the available categories employees could fit into (i.e. one or more specific departments, to narrow down results by further)

After applying a filter, the system will update the number of active direct reports identified during the period that the dashboard is showing data about. 

To clarify:

• All direct reports that have been active during the selected time period are counted. In this context, active stands for registered to the program.
• The total number shown on the Dashboard can be higher than the number of registered direct reports the Line Manager has at the time of visiting the page. This is because users who have been active during the selected time period may have been marked as leavers (i.e. revoked) part way through the time period, or at a later stage.
• Unregistered users are not counted, unless their first-time registration occurs during the selected time period. 
• Recognition recipients are only counted if they were registered users during the selected time period. Recognition sent to users that were unregistered at the time of sending will not be counted, even if they are direct reports of the Line Manager visiting the page, and even if they register at a later date.

Recognition Charts Explained

The same types of charts are available in the Sent and Received Recognition tabs. More details about each chart are presented below.

Direct reports are included as follows

Alongside the points above about registered and unregistered users, Line Managers should note that:

• All users who were their direct reports during the time period they are filtering by, can be counted in the Dashboard.
• If a user was their direct report when they sent or received recognition in the selected time period, but no longer is when the Line Manager looks at the Dashboard, they will still be counted in the Dashboard and may appear in Leaderboards.
• If a user was not their direct report when they sent or received recognition in the selected time period, but is linked to the Line Manager at a later stage (later in the time period, or when the Line Manager looks at the Dashboard), their recognition sent or received will not be counted in the Dashboard, and they may not appear in Leaderboards (or may appear, but with lower numbers, as the count begins when they are linked to the Line Manager).
• Changes in reporting relationships may mean that, over the same time period, two Line Managers see the same employee appear in their Dashboard (i.e. because they were moved to a different Line Manager part way through the time period, and they sent or received recognition under both managers).

Recognition moments are included as follows:

All products

• Recognition moments are counted at the time they are sent - not at the time they are opened, or claimed into the recipient's award balance.
• This may mean that awards that have been cancelled later are also counted.

eCards and InstantAwards

• eCards that were available to send during the time period can be counted. This may include eCards that have since been edited or deleted.
• eCards that have been scheduled are not counted, as they cannot be tracked to a registered sender and are always sent from the program (note, this is a legacy feature, separate from Scheduled Recognition which is not included in the Dashboard).

InstantAwards

• InstantAwards that were available to send during the time period can be counted. This may include awards that have since been edited or deleted.
• InstantAwards that have been scheduled are counted, as the sender is always a registered user (note, this is also a separate feature from Scheduled Recognition).

AwardNominator

• All nomination statuses are counted (pending, approved and rejected).
• All awards that were available to send during the time period can be counted. This may include awards that have since been edited or deleted.
• For Group Nominations, one separate award per individual recipient is counted. For example, if a nomination is submitted for 5 recipients, and 2 of them are direct reports of the Line Manager looking at the Dashboard, 2 nominations and 2 recipients will be counted in the Line Manager's Dashboard.

Recognition Engagement Stats

In the Sent Recognition tab:

• Total number of recognition moments: total recognitions sent by direct reports during the selected time period (this may be higher than the number of senders, as the same individual may send multiple recognitions in the time period)
• Senders: number of direct reports who have sent recognition during the selected time period.

In the Received Recognition tab:

• Total number of recognition moments: total recognitions received by direct reports during the selected time period (this may be higher than the number of recipients, as the same individual may receive multiple recognitions)
• Receivers: number of direct reports who have received recognition during the selected time period. 

Breakdown by Recognition Moment Type

• In the Sent Recognition tab: this chart shows the number of recognitions sent by direct reports over the time period, broken down by product (see above for explanation of how products are included)
• In the Received Recognition tab: this chart shows the number of recognitions received by direct reports over the time period, broken down by product (see above for explanation of how products are included)

Recognition Moments Sent / Received Over Time

This chart shows the number of recognitions sent or received by direct reports over a certain time period, broken down by:

• Product (see above for explanation of how products are included)
• Month (if the filter chosen is Last 12 months)
• Week (if the dashboard is filtered for a different time period), with each week labelled according to when in the year it occurs (e.g., the first week in January would be week 1, the last week in December would be week 52)

Comments and Reactions

This is the same chart for both the Sent Recognition and the Received Recognition tabs. It counts how many comments and reactions have been added to recognition moments by direct reports during selected time period.

Leaderboards

• On the Sent Recognition tab: The 10 direct reports who have sent the most recognition during the selected period are shown, alongside the number of recognitions sent.
• On the Received Recognition tab: The 10 direct reports who have received the most recognition during the selected period are shown, alongside the number of recognitions received.

For clients using the Profiles feature, clicking on the employee names will lead to their personal profiles on the platform.

Please note: InstantAwards sent on behalf of someone else will be counted based on the intended sender i.e. if a HR admin sends an award on behalf of the Managing Director, the Managing Director will be shown in the leaderboard. This may mean that users who have not directly sent an Instant Award, or who are not pot owners on the system, may still appear on the leaderboards.

Breakdown of Recognition Types

This chart shows a breakdown of the recognition types that have been sent or received most frequently during a specific time period, for each available product. 

For each product, the chart will show a maximum of the 10 most popular recognition types, to ensure the data can be read as clearly as possible on the page. This means that clients using more than 10 eCard or award types may not see them all listed in the chart.

In the Sent Recognition tab:

• Recognition moments are counted at the time they are sent by the direct report
• This may mean that awards that have been edited or deleted from Reward Manager at a later date are also counted
• The data in this chart will not match the chart in the Received Recognition tab. This is because the Line Manager's direct reports may be sending recognition to colleagues outside their team.

In the Received Recognition tab:

• Recognition moments are counted at the time they are sent to the direct report, not at the time they are opened, or claimed into the direct report's award balance
• This may mean that awards that have been edited or deleted from Reward Manager at a later date are also counted
• The data in this chart will not match the chart in the Sent Recognition tab. This is because the Line Manager's direct reports may receive recognition from colleagues outside their team

Recognition Moments Flow

In addition to recognition demonstrating appreciation for individual work, sharing recognition across groups can communicate important information about how things work in other departments and can build relationships that make working together easier and more productive.

Line Managers can use this chart to spot patterns that might help them increase engagement with recognition in their team, for example:

• Is there a specific business area direct reports recognize most often?
• Is there a specific business area direct reports receive most recognition from?
• Do direct reports tend to recognize people in their same group most often?

The data is based on the employee groups the client creates through the data in their employee eligibility file i.e. departments.

In the Sent Recognition tab:

On the left-hand side of the chart are the groups, i.e. departments that the Line Manager's direct reports belong to. This is based on the users who have sent recognition during the selected time period (in the example above, a Line Manager has direct reports split across different departments, but only one department has been sending recognition during the specific time period. 

On the right-hand side are the groups that include users who have received recognition from the Line Manager's direct reports over the selected time period. 

In the Received Recognition tab:

On the left-hand side of the chart are the groups i.e. departments that include users who have been sending recognition to the Line Manager's direct reports over the selected time period.

On the right-hand side are the groups that the Line Manager's direct reports belong to. This is based on the users who have received recognition during the selected time period (in the example above, a Line Manager has direct reports split across different departments)
