AwardFilePlus™ is the engine that supports point-in-time recognition, such as large group achievements or long-service awards.

Consistent award file structure
A department manager, or another appointed person, can gather a list of employees they would like to reward and upload it in .csv format to Reward Gateway's administration portal, Reward Manager.
The file needs to include the columns listed below (with headers), which need to be filled for every award in the list, to make sure the right awards are sent to the right people:
- Employee's Name (first name and last name need to go in the same cell)
- Nomination Detail (the personal message the employee should see with their award. There is no character limit for this)
- Nominator Name (chosen by the client - e.g. the name of an individual, the program, the company, etc., 160 characters or fewer)
- Award Type
- Employee ID (as logged in Reward Manager)
- Employee's Email Address or Postal Address (this depends on the client's chosen communications for award winners, explained later in this article)
Employees can be listed more than once if they are due to receive more than one award at the same time.
Unlimited number of awards
AwardFilePlus™ allows managers to acknowledge multiple employees for their contributions in one go.
There's no upper or lower limit to how many awards can be listed in an award file, giving clients the flexibility to reward as many employees as they want, for as many separate awards as they need, with just one upload.
Unique recognition messages
Unique recognition messages can be included as part of the file sent through to us, for each recipient, so the experience remains personal and specific.
Choice of different employee communications
When it comes to notifying award winners, there are three options for the client to choose from at implementation:

Email

This option is only available if the client can provide an email address for every award winner in the award file

Once the award file has been processed, an email will go out to all winners, prompting them to see their award on the platform. They will also find an onsite alert on their next login.
- Award winners will be notified of their award through the email address provided in the award file (even when this is different from the one they registered with)
- The email will include the award artwork, and a preview of the personal message attached to the award. Open the R&R System Emails List article to see an example

Postal

This option can help when the client is unable to provide email addresses for award winners

The award winners’ postal addresses need to be provided in the award file

All award winners' letters are sent to the client by RG, as a PDF file, so the client can print and send them out at their convenience.
- The client is free to dispatch the awards (i.e. add them to employees' balances on the platform) at any time. Once the awards are dispatched, employees will also receive onsite alerts.
- The text of the letter is customizable; branding and layout are system generated.

No system communications
- This option is suitable if the client wants to arrange communicating the awards at their end, with no system generated emails or letters.
- The client is free to dispatch the awards (i.e. add them to employees' balances on the platform) at any time. Once the awards are dispatched, employees will also receive onsite alerts.
- This can help when the client is unable to provide email or postal addresses for award winners, or wants to use specific branding when communicating with them before dispatching the awards.
- This option is suitable if the client wants to arrange communicating the awards at their end, with no system generated emails or letters.
