Group recognition for ecards makes it easier to recognise groups of people such as teams, departments, or any other groups within your organisation. With this, it is easier to recognise groups of people together and help ensure everyone gets recognised their effort and behaviours.
How to create groups?
Firstly, in order for employees to be able to send to groups, they must be created in Reward Manager. These can be created using Segments or Member file upload fields so you can create the groups that work for your organisation. For details please see this article Groups Manager Guidance.
How it works
On the sending recognition page, users can search both individuals and now groups that have been created. If the user is unsure of what groups are available, they can click 'See all people and groups' to view the groups you have created in the Directory - this will only appear once groups have been created.
By clicking on the group, the user can see who is in the group, and are able to deselect individuals from the recognition.
Users are able to send to multiple groups and individuals within the same recognition making it easy to ensure everyone who needs to be included is!
We know that the number of notifications that would be sent to a Group could be very large and would be an annoyance so, alerts on recognition to Groups are turned off - of course, the recipients will still receive an alert that they have received an eCard.
FAQs
-
Can Group Recognition be used for Instant Awards and Nominations?
No, this can only be used for eCards at the moment. Users can still send Nominations and Instant Awards to multiple people at once but, just not using Groups. They will see a warning message and be prevented from sending the group recognition.
-
What if a member if listed more than once in the recipient list?
If a member belongs to a group and is also added in the individual members they will still only receive the recognition once. The same applies is a member is part of two or more groups.
-
Is the recognition sent immediately?
Before sending a group recognition, users will see an informational message that the recognition can take some time to send, particularly to larger groups but, most recognitions will be sent within minutes. -
Is there a limit to the size of the recipient groups?
At the moment, the maximum size of a group is 300. Users will see this message and be prevented from sending it.
-
How can this be turned on?
Group Recognition is part of recognition no setting to enable. Once you have created some Groups, users will be able to send to them.
-
The number of recipients who received the recognition was less than the number shown on the Summary screen?
Once sender has confirmed and clicked send, we check to ensure all the recipients are eligible for example, there may be segmentation on who can receive certain eCards.
-
A recognition was sent to a group but it shows a list of names, not the group name?
The group name will not show if either a) the sender has excluded a member of the group from the recognition or b) one of the recipients is ineligible.
-
If a recipient is not eligible will the sender be alerted?
No, there is no alert or recording of the members who have not been sent recognition due to ineligibility.
-
Is the recognition shared on the wall?
In line with existing behaviour, the recognition can be shared publicly or privately - if it is shared privately It will show on the wall for the sender and recipients of the Group Recognition but, for no one else.
