This article explains how to add new answers to registration questions, from the R1 Report.
This feature allows us to add new answers/titles to all existing registration questions type List (what clients call Custom fields) at the time of the upload, and for clients with provisioning integrations - after the upload/import has been completed they can add the new answers from the R1 Report.
'Missing Demographic Data' While Uploading a Membership File
If there are new answers/titles under any of the registration questions included in the mapping of the template, you will see Status Missing demographic data and a button to Fix data or Cancel upload.
> Select Fix data.
On the next screen, you will see a list of all answers/titles that haven’t yet been added to a registration question list.
If the answer/title already exists in the system (but with a different spelling for example) the client can:
> Search for the existing answer/title in the Enter category name… search bar
> Select the correct answer from the drop-down > then select the Assign to Category button
Example
A client is uploading HR as the answer/title in their file, but if we search for it in the field by Human Resources we can see if it exists and we can assign HR to Human Resources - that way there will be no duplicates.
If the answer/title cannot be found in any way in the Search bar (or the R1 report), the client can add it from the Add as new Category button, which will update the Registration question list and the R1 report to include this new answer/title.
After this is done, you can select Continue so the file is processed and you can then review the assessment and Complete the upload.
Then the members with this new answer/title will be updated, and their account will display the selected answer/title.
What to do with Provisioning Integrations
If the client has a Provisioning Integration, they cannot get to the above-described page where they can assign to existing or add a new answer/title at the time of the upload/import.
Instead, to add or update their Registration question answers/titles they need to go to the R1 report and complete this, after a successful Membership upload/import (that includes the new answers/titles assigned to the new users).
> Go to Reward Manager > Smart Products > Smart Insights > Reporting
> The first report on the list is the R1 report, select it
> Then select the View Report button (you can leave the date picker filter as it is)
In View mode, the report will show you all the existing answers/titles in a dropdown by Registration question.
You will see a red banner saying “Missing Demographic Data” under any Registration questions where there are new, unknown or unrecognized answers/titles.
There will be a link saying “Fix Missing Demographic Data for <registration question name>”.
If you select it you will be taken to a page similar to the one described above for manual Membership file upload.
On this page you will see all new answers/titles (where it’s an empty value) that haven’t yet been added or assigned to an existing one. Same as for manual Membership file upload described above:
- If the answer/title already exists in the system (but with a different spelling for example) the client can search for the existing answer/title in the Enter category name… search bar, then select the correct answer from the drop-down and hit the Assign to Category button.
- If the answer/title cannot be found in any way in the Search bar (or the R1 report), the client can add it from the Add as new Category button which will update the Registration question list and the R1 report to include this new answer/title
This is done to ensure that all reporting data for the respective answer/title is stored in the same place and when the answer/title is applied as a filter on a reporting tool it will show you all reporting relevant to the employees that share this exact answer/title.
Also, in order to create a segment using an answer/title loaded with a Membership upload/import, it needs to be added to its respective registration question list, otherwise, even if it is present on the data file/imported data, it won’t recognize users that were assigned this answer/title.
