The Recognition Coach is an intelligent writing assistant that helps you create thoughtful recognition messages for your colleagues. The coach provides suggestions to help you express appreciation clearly and authentically.
Prerequisites
To use the Recognition Coach, you need:
- The Rewards & Recognition module enabled for your organization
- Permission to send recognition messages
- Note: The Recognition Coach might not be available if your organization has opted out of using it
Enablement and Configuration
The Recognition Coach is enabled at the organization level and will be available by default for all clients with the Rewards & Recognition. If you don't see the Write with AI button in your recognition flow, your organization might have opted out of using the feature. Contact your HR administrator or IT support team for more information.

How It Works
The Recognition Coach requires you to provide at least 50 characters to be able to keep the suggestion authentic. The coach will then offer an improved or rephrased version of your draft, helping elevate the tone and clarity while preserving your original intent.
Once the suggestion is generated, you can choose to insert it and use it to send the recognition. You can also:
- Regenerate the suggestion to explore alternative versions
- Translate the suggestion (available in English, French, Spanish, Dutch, German, and Italian)
- Adjust the length of the message
- Change the tone to Friendly, Professional, or Celebratory
Once you insert the suggestion, it will be inserted in the original recognition text field where you can proceed with sending your recognition like you normally do.
Privacy Note: There will be no indication to the recipient or others that the recognition was written with AI.

When composing a recognition message, employees simply click the Write with AI button after drafting at least 50 characters. The coach generates a suggestion that employees can review, regenerate, customize for tone and length, or translate. Employees remain in full control—they can edit the suggestion, insert it as-is, or discard it entirely. The experience is designed to be quick, intuitive, and non-intrusive.
Compliance and Security
Data Privacy:
- User inputs and outputs are not used to train AI models. The data provided by users remains private and is not utilized for model training purposes.
- Suggestions are not retained beyond the active session and are terminated when the modal is closed.
- There is no indication to recipients that a recognition message was written with AI assistance.
Security Infrastructure:
- Guardrails inspect inputs and outputs to detect and mask sensitive information and filter harmful content.
- If a user includes sensitive details, the guardrails may mask or block them automatically.
