Introduction
SmartPay is the salary sacrifice and payroll benefits administration portal from Reward Gateway | Edenred. It combines all of the client's salary sacrifice and payroll products into one central, manageable place and reduces administration for HR professionals.
SmartPay enables HR teams to simultaneously confirm employee requests for Cycle to Work, SmartTech, Car Benefit, Childcare, Holiday Trading, or any other salary sacrifice or payroll benefit, saving them time and effort.
They can also rely on the system to automatically approve employees' applications based on the individual employee allowance, meaning quicker applications for the employee, less administration for the employer, and no compliance risks.
How SmartPay Works
SmartPay is a central hub which allows HR professionals to manage payrolls, windows, applications, and invoices from one place. All SmartPay products (Childcare, Cycle to Work, SmartTech, Car Benefit, Holiday Trading, etc.) can be managed and administered from the same place, which saves the pain of having to create and manage identical payrolls or windows for each product.
Setting up payrolls is easy; clients can have multiple payrolls, which can be set up in minutes. All that's needed is to upload employee details as standard, along with a few additional details, such as the SmartPay Limit per employee (alternatively, the client can opt for a default value to be applied to everyone via the setup).
SmartPay Limit is the maximum spend limit that one employee can use on SmartPay benefits. If a client has more than one salary sacrifice or payroll benefit in place, then this allowance could be spread out across the products available within SmartPay.
For example, if Employee X is allowed a maximum of £10,000 per year, they could spend £3,000 on Cycle to Work and £7,000 on SmartTech.
For salary sacrifice products, like Cycle to Work, it's highly recommended that the client provides salary details and date of birth for each of their employees, should they'd like to leverage from the automatic National Minimum Wage checks and automatic applications approval. Clients could also provide Weekly Estimated Hours (default is set at 40), Annual weeks (default is set to 52), or/and information on any additional gross deductions if any are run outside of our system.
We provide clients with a deduction report for each payroll period, which helps them to manage multiple deductions for multiple payrolls. With a simple click of the mouse, the client can download a list of all due deductions for the respective period.
Availability & Cost
SmartPay is available at no additional cost when any salary sacrifice or payroll benefit is activated as part of the client's benefits programme.
