One of the dashboards available in the SmartInsights Analytics Engine is the Recognition Dashboard. This dashboard will provide admins with data and analytics on their organization's recognition activity.
Read on for more in depth information on what the data means for each of the charts in the Dashboard. Please note:
- At this stage, the Recognition Dashboard only covers recognition sent through eCards, InstantAwards™ and / or AwardNominator™. Scheduled Recognition and AwardFilePlus™ will be considered as part of later iterations.
- Hovering over the charts will enable admins to uncover extra information, such as numbers and percentages not shown directly in the charts
- Clients are able to export the entire Dashboard in PDF format, or export the data from specific charts in CSV format (to find this Export function, select the three dots next to the relevant chart)
- The content, layout, colours and visibility settings of the charts are fixed for all clients using the Dashboard. These cannot be changed or segmented on client request.
How to access the Recognition Dashboard
Users with Reports Viewer admin permissions can access the Recognition Dashboard by clicking on the Platform Insights link in their Account tab (see images below). They will then find a "Recognition in your company" tile that will lead to the dashboard.
Admins who would like the Reports Viewer permissions assigned to them for the first time can contact their Client Success Manager or the Client Support Team.
Note: Reports Viewer permissions also provide access to all reports available to clients in the SmartInsights section (e.g. total registrations, discounts spend, recognition issued, etc.). It is not possible to segment this admin role to provide access to specific reports only.
Here's an example of what the Dashboard might look like for a client.
Using the Filters
In this dashboard, admins can drill down into different groups within their organization by using the Filters.
The filter at the top of the page allows refining the data by selecting a certain group and/or a specific time frame. All of these filters are optional.
- Group selection: one or more of the custom employee data fields (set up as List or Enterprise fields) supplied through membership data files (e.g. Department)
- Group Name selection: for each Group, one or more of the available categories employees could fit into (e.g. one or more specific Departments, to narrow down results by further)
After applying a filter, the system will update the number of active users identified during the time period, that the dashboard is showing data about. To clarify:
- All individuals that have been active during the selected time period are counted. In this context, "active" stands for "registered to the program".
- The total number shown on the Dashboard can be higher than the number of registered users the admin is aware of when they visit the page. This is because users who have been active during the selected timeframe may have been marked as leavers (i.e. revoked) part way through the time period, or at a later stage.
- Unregistered users are not counted, unless their first-time registration occurs during the selected time period.
- Recognition recipients are only counted if they were registered users during the selected time period. Recognition sent to users that were unregistered at the time of sending will not be counted, even if those users register at a later date.
Recognition engagement stats
Based on the number of active users identified in the Filter and the products covered in the Dashboard, these charts report on:
- Total number of received and sent recognition moments (this may be higher than the number of senders or recipients, as the same individual may send or receive more than one recognition in the period)
- Recognition engagement: percentage of users who have sent or received recognition during the time period, or both
- Percentage of users who have received recognition
- Percentage of users who have sent recognition
Recognition sent and received by role
Note (17 December 2020): rather than senders and recipients, these charts count the number of recognition moments sent and received. This should explain why clients may notice discrepancies with their number of active users. Work to improve the wording of the labels will be scheduled in 2021.
These two charts break down recognition sent and received by role, and by week during the time period.
- Manager: a user who, in the client's employee data files (Line Manager column), is assigned to one or more employees as their manager
- Non-manager: a user who is not linked to any employees in the Line Manager columns (if the client is not supplying Line Manager information when uploading membership data, all users will be counted as Non-Managers).
Manager and Non-Manager status is recorded at the time the recognition is sent or received. If users counted here change status over time, the numbers in these charts will still count their status at the time of the events.
InstantAwards™ sent on behalf of someone else will be counted based on the intended sender (e.g. if a HR admin sends an award on behalf of the Managing Director, the Managing Director will be counted for the chart's purposes).
Recognition types
These charts break down recognition sent by product (see note at the start of the article detailing which products are covered).
Recognition moments are counted as follows, in these charts and in the entire Dashboard:
- All products
- Recognition moments are counted at the time they are sent - not at the time they are opened, or claimed into the recipient's award balance
- This may mean that awards that have been cancelled at a later date are also counted
- eCards and InstantAwards™
- eCards that were available to send during the time period can be counted. This may include eCards that have since been edited or deleted.
- eCards that have been scheduled are not counted, as they cannot be tracked to a registered sender and are always sent from the program (note, this is a legacy feature, separate from Scheduled Recognition which is not included in the Dashboard)
- InstantAwards™
- InstantAwards™ that were available to send during the time period can be counted. This may include awards that have since been edited or deleted.
- InstantAwards™ that have been scheduled are counted, as the sender is always a registered user (note, this is also a separate feature from Scheduled Recognition)
- AwardNominator™
- All nomination statuses are counted (pending, approved and rejected)
- All awards that were available to send during the time period can be counted. This may include awards that have since been edited or deleted.
- For Group Nominations, one separate award per individual recipient is counted
Recognition moments flow
In addition to recognition demonstrating appreciation for individual work, sharing recognition across groups can communicate important information about how things work in your organization, and how employees interact.
This graph shows how recognition flows between the employee groups you create through the data in your employee eligibility file (e.g. Departments). You can use it to spot patterns such as:
- Which groups have members that tend to recognize each other, vs. which groups have a habit of sending recognition to different areas of the organization
- Which groups tend to send the most / least recognition, and where it's directed (to the same group, or to other business areas)
- Which groups tend to receive the most / least recognition, and where it comes from (from the same group, or to other business areas)
Status charts

Recognition Status counts the status (i.e. opened or unopened) of recognitions that were sent during or before the selected time period.
- This chart only counts recognition moments that have been seen by employees on the platform. It does not keep track of whether, or when, monetary awards have been spent.
- Nomination Status breaks down the status of nominations that have been actioned (approved or rejected), or are still pending review, during the selected time period

Award Status is only relevant to clients that have not yet moved away from a manual award claim process (see article Removing the award claim process for an improved employee experience). The vast majority of clients have already done so, and will not need to consider this chart, as they will no longer see any unclaimed awards going forward (note on 17/12/2020 - hiding the chart for clients on the automated claim process will be part of a later iteration, to be reviewed in 2021). For clients that do have a manual claim process, here are some pointers on how to read the chart
- Products covered: InstantAwards™ and AwardNominator™ only (not eCards)
- Unclaimed: sent out but not yet claimed by the recipient (for monetary awards, this means the award does not yet sit in recipient's award balance)
- Claimed: sent out and manually claimed by the recipient (for monetary awards, this means the award was added to the recipient's award balance)
- This chart does not track whether, or when, claimed monetary awards have been spent
- This chart covers recognitions sent during the time period selected in the filters
Breakdown of recognition types
This chart shows a breakdown of the recognition types that have been sent most frequently during the time period, for each available product. As a quick reminder:
- Recognition moments are counted at the time they are sent - not at the time they are opened, or claimed into the recipient's award balance
- This may mean that awards that have been edited or deleted from Reward Manager at a later date are also counted
For each product, the chart will show a maximum of 10 most popular recognition types, to ensure the data can be read as clearly as possible on the page. This means that clients using more than 10 eCard or award types, may not see them all listed in the chart.
Comments and reactions
This chart counts how many comments and reactions have been added to recognition moments during the selected time period.
Recognition sent vs number of senders compared to same time last year
This chart can help clients track usage over time, by comparing the amount of recognition sent and number of senders over a period of a year. It can be useful to spot patterns such as:
- Months when spikes in recognition sending regularly occur
- Increases or decreases in usage over time
Leaderboards
The 10 users who have sent and received the most recognition during the selected time period are shown in these leaderboards, alongside the number of recognitions sent and received.
For clients using the Profiles feature, clicking on the employee names will lead to their personal profiles on the platform.
Note: InstantAwards™ sent on behalf of someone else will be counted based on the intended sender (e.g. if a HR admin sends an award on behalf of the Managing Director, the Managing Director will be shown in the leaderboard). This may mean that users who have not directly sent an Instant Award, or who are not pot owners on the system, may still appear on the leaderboards.
