Introduction
This article offers information on how to use the Applications and Invoices tabs available on SmartPay dashboard. This article is designed for clients.
Overview
When clicking through the applications tab on the SmartPay dashboard, you can do the following tasks:
- View all open applications
- Review historical applications
- View pending, approved or rejected applications
Using Filters
If you are aware of the name, payroll number, or application ID, you can quickly search for a particular application using the following filter.
Insert the search criteria and click on the search button.
Other quick filter options include application status and identifier.
Advanced Filters
SmartPay applications can also be searched by selecting a specific product or payroll.
Historical Applications
If you have a historical application which you would like to review, you could do this by setting the parameters for Application date, Cancellation date, dispatched or Approved date.
Once you select the parameters, click on the Apply Filter button. This will bring up the following application data:
You can export all the applications or just the filtered list, click on Export Applications to start the export.
Approve Applications
It is possible to approve multiple applications by using the select all pending on this page option. It will select all unactioned or unapproved applications.
You can view details of the specific applications by clicking on View Details. Details include employee name, ID, DOB, products applied for, as well as application ID, application date, amount they are applying for, and the application status.
From here, you can approve, reject, or delete the application entirely. You are able to view further details on the selected application including cost to the employee and the deduction period.
It is also possible to view the previous signature on the application, this is from when the member initially made the SmartPay application.
Invoicing
Please note that not all SmartPay products use the invoicing function, please check your product guides for product specific information.
From the Invoices tab, you are able to view Orders, Invoices, and Credit Notes.
Orders
You are able to review any outstanding orders from here.
Invoices
You have the ability to search invoices or orders by document number as well as payroll, status, and product. Date options are also available, click on Apply filters to view results.
You can also export the list if you wish to have it in Excel format. When reviewing invoices, you can flag and review any errors or view extra information regarding a product such as total amount, type, or status.
Credit Notes
This works in a similar way to the invoices tab, allowing you to search for credit notes by related invoices or by payroll and status.
